Program Coordinator

Full Time – 14+ Month Maternity Leave Contract (37.5 hrs/week)

Gilda’s Club Simcoe Muskoka (Gilda’s Club) is a welcoming, non-residential cancer support community that exists so that no one faces cancer aloneTM. Our mission is to ensure that all people impacted by cancer - men, women, teens and children – are empowered by knowledge, strengthened by action and sustained by community.

Position Overview

 

The Program Coordinator, in reporting to the Program Director, is responsible for the coordination and management of Gilda’s Club Simcoe Muskoka (Gilda’s Club) Adult Program, and its related day-to-day operations. The successful candidate will participate in the ongoing efforts to increase awareness, understanding and execution of a Program consistent with and supportive of Gilda’s Club and the Cancer Support Community (CSC) mission, vision and philosophy.

   

Primary Responsibilities

 

In conjunction with the Program Director,  ensure that the diverse, high quality Programs offered are congruent with established mission, philosophy, policies and guidelines of Gilda’s Club (CSC).

Assist with program development and implementation, including the creation of the Program Calendar, providing updates on programs for the website, and overseeing the entry of calendar events and updates into Gnosis (our database).

Provide program/workshop support, including sending routine program correspondence, reminders for program, confirming attendance, follow up with “no shows”, and coordinating materials needed for programs.

Facilitate/support educational workshops and social events (i.e. introduce guest speaker, help attendees check-in, moderate discussion as needed to ensure the Gilda’s Club/Cancer Support Community philosophy is honored).

Exercise discretion and sound judgement in conducting  and responding to membership inquiries, completing Customized Membership Plans for new members, facilitating Support and Networking Groups, and family conferences as required; and interactions with Members who may be in crisis.

Participate in providing information by phone or in person to current or potential members regarding Gilda’s Club programs, services and local resources

Arrange and participate in outreach to health care professionals, community resources and groups, etc. to promote Gilda’s Club programs. Help to identify new sources for outreach. May involve formal speaking engagements.

Help generate monthly program statistical reports and summarize and maintain program evaluations

Must be flexible in their work hours as a part of their role in supporting the needs of our members and in making program accessible to them.  The planning and execution of some programs may require work outside of the standard work hours, specifically evenings and weekends.

Actively participate in ongoing outreach to the community to bring awareness to and build supportive partnerships between Gilda’s Club and the community.

Be willing to take on additional projects and other duties as assigned by Program Director.

 

 

Additional Roles

Be open and willing to support with the day-to-day operations of Gilda’s Club Simcoe Muskoka such as answering the phone, answering the door, greeting guests and supporting members with checking in to the Clubhouse,  and opening and closing the Clubhouse for programs and events, as well as providing support/supervision for these events.

Support the Program team with different activities such as: taking and returning calls; supporting members in crisis; and contacting facilitators and volunteers regarding Gilda’s Club programs.

 

 

Qualifications:

Fully vaccinated status to enable working with members who are immune-compromised individuals undergoing cancer treatment.

Candidates require a Bachelor’s Degree in Social Work (BSW) or an advanced degree in a related mental health field from an accredited university, with a strong background in providing psychosocial supports.

Registered and in good standing with professional college and/or professional association is required.

A preference of a minimum of 3 years of experience working in the charitable sector in the delivery of services.

Group facilitation and/or counselling experience is required. 

Strong computer skills with Microsoft Office software applications (i.e. Outlook, Word, PowerPoint, and Excel), as well as experience database entry.

Experience working with facilitators/instructors and volunteers is considered an asset.

Familiarity in working with adults in the area of oncology, and grief/loss would be an asset.

Ability to work in an organized manner within established procedures

Ability to manage conflicting priorities and multiple tasks, working independently.

Ability to use good judgment in making day-to-day decisions.

Strong interpersonal and written communication skills.

Strong organizational skills.

Evening and weekend availability is required.

Knowledge of the local community and cancer support services is preferred. 

The successful applicant will need to undergo and pass a Vulnerable Sector Screening police check.
